Privacy policy

domyme (“we”, “us”) provides a digital team member that answers email, prepares quotes, and manages follow-ups for small businesses. This policy explains what information we handle, why, and the rights you have — in plain English. We operate under the New Zealand Privacy Act 2020.
Two kinds of people, two roles
Our customers (the businesses who subscribe): we collect your account details — name, email, business name, and settings — to provide the service. Payment card details go directly to Stripe; they never touch our systems.
Our customers' customers: when a business connects its inbox to domyme, we process the emails that business receives — including names, email addresses, and message content — on that business's behalf and instructions. The business remains responsible for that relationship; we act as its processor. If you have emailed a business that uses domyme and want your information corrected or removed, contact that business — or contact us and we'll help.
What we do with email data
Connected mailboxes are read to identify genuine customer enquiries. Relevant messages are processed by an AI model (Anthropic's Claude) to draft replies and quotes for the business owner to approve. We do not use your data, or your customers' data, to train AI models, and our AI provider does not train on data submitted through its API. Automated service email (receipts, newsletters, notifications) is filtered out and not turned into customer records.
domyme's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to provide the user-facing features described here — reading enquiries, drafting and sending replies from the connected address — and is never used for advertising, never sold, and never read by humans except with the account owner's permission for support, for security, or as required by law.
Where your data lives (offshore disclosure)
We use reputable infrastructure providers, some outside New Zealand: our database and file storage run on Supabase (AWS, Mumbai region); our application runs on Vercel (United States); AI processing is performed by Anthropic (United States); payments by Stripe; email delivery by Resend; and inbox connections by Google and Microsoft. Each provider holds independent security certifications (SOC 2 or equivalent) and is bound by its own data protection terms. By using domyme you authorise these disclosures, which the Privacy Act permits where the receiving party is subject to comparable safeguards.
How long we keep it
For as long as the business's account is active, so the agent has the history it needs to serve customers well. When an account is closed, its data is permanently deleted from the live database immediately, and from short-term backups in the ordinary course. Business owners can export their data or close their account from Settings at any time.
Security
Every business's data is isolated at the database level. Data is encrypted in transit and at rest; stored mailbox credentials carry an additional layer of application-level encryption. Access keys are held server-side only. See our Security & your data page for the plain-English version.
Your rights
Under the Privacy Act you may ask for a copy of personal information we hold about you, and ask us to correct it. Email hello@domyme.com and we'll respond promptly. If you're not happy with our response you may complain to the Office of the Privacy Commissioner (privacy.org.nz). If we ever suffer a privacy breach likely to cause serious harm, we will notify the Commissioner and affected people as the Act requires.
Cookies
We use only the cookies the product needs: keeping you signed in and remembering interface preferences (like your sort order). No advertising trackers, no third-party analytics cookies.
Changes and contact
